This policy explains what we collect when you visit exhibitsmgmt.com or fill out our quote-request form, why we collect it, and what we do with it. We try to keep this in plain English. If anything is unclear, email us at [email protected].
What we collect
Information you give us
When you submit the quote-request form, we store the fields you enter: your name, company, email address, phone number (optional), conference name, dates, booth size, services you're interested in, how you heard about us, and any message you add.
Information collected automatically
When you submit the form, we also record your IP address and browser user-agent string. We do not run third-party analytics, advertising pixels, or session-replay tools.
Our site is delivered through Cloudflare, which means Cloudflare also processes basic request metadata (IP, headers, request paths) as part of providing security and content delivery. Cloudflare's privacy policy is at cloudflare.com/privacypolicy.
Why we collect it
- Form contents: so we can respond to your inquiry, prepare a quote, and follow up about your event.
- IP and user-agent: to recognize abusive submissions and to provide reasonable security on our forms. These are stored alongside the lead record.
Cookies and local storage
We use cookies only for things that have to work — there is no advertising or analytics cookie on this site. Specifically:
- An authentication cookie is set after you log into the client portal (if you have a portal account). It exists so your session persists across pages.
- An authentication cookie is set when an administrator logs into the back-office dashboard.
- A small flag in your browser's local storage records that you have dismissed the data-collection notice that appears at the bottom of the page.
You can clear cookies and local storage in your browser settings at any time. Doing so will log you out of the portal and re-show the data-collection notice on your next visit.
How long we keep it
We keep quote submissions for as long as needed to evaluate, win, and service the engagement, and for a reasonable period afterward for our business records. If you'd like your lead record deleted, email us and we'll take care of it.
Who we share it with
We don't sell your information, and we don't share it with third parties for marketing. We may share specific data with service providers strictly to do our job — for example, a freight carrier may need a shipping address for your booth. We only share what's necessary for the task in front of us.
Your rights
You can ask us to:
- show you what data we have about you,
- correct anything inaccurate,
- delete your lead record,
- stop contacting you.
Email [email protected] with the request. We'll respond within a reasonable time, usually a few business days.
Security
Quote submissions are sent over HTTPS and stored in a database file on a server we control. Administrator and client-portal accounts are protected with hashed passwords. We do our best to keep things safe, but no system is perfectly secure, so we encourage you not to send anything via the form that you wouldn't want a third party to see.
Children
This site is intended for medical-device and pharmaceutical professionals. It is not directed at children, and we don't knowingly collect information from children under 16.
Changes to this policy
If we update this policy, we'll change the "last updated" date at the top of the page. Material changes will be flagged on the homepage for a short period.
